Overview
The Plan Limits card on Account Settings gives a quick summary. The Subscription page shows usage only for allowances with a finite limit under your current plan and add-ons. This includes monthly invoice and AI document allowances on Free. Uncapped allowances are omitted. User, storage and active employee usage appears directly in the corresponding add-on row, beside its Add or Change control. Free and trial accounts show their allowances with the plan. Totals include your current add-ons. Existing add-ons can still be managed even when their capacity is uncapped.

Note: Only the Account Owner can manage the subscription. Use the menu to navigate to subscription management.
Active Projects — Fair-Use Boundary
Paid and trial plans include up to 150 concurrently active projects. Archived (closed) projects are never limited on any plan. This is a performance guard rail, not a tier limit — it is the same on every paid plan, and closing or archiving finished projects frees capacity immediately. If your business genuinely needs more than 150 projects open at once, contact support.
Free Plan Restrictions
Free plan accounts keep core project and invoice workflows available, but higher-tier features are hidden or locked.
The free plan restricts:

- Recurring invoices
- Project Documents
- Project Team
- Bank reconciliation and banking tools
- Full reports
- Connected apps
- Data import
- NAS integration
If a feature is restricted by the free plan, its navigation tab or action is hidden where possible.
Payroll is a separate add-on for paid accounts in Australia and the United Kingdom, included during trials in those regions. Existing free grandfathered payroll grants are retained on Free.
The Free plan does include API tokens (and with them MCP / AI-assistant access) and AI document processing, capped at 30 AI-processed documents per calendar month.
Project Limits on the Free Plan
The free plan allows a limited number of active projects. When an account has more active projects than the free plan allows, Beeswax keeps the most recently updated active projects editable up to the plan limit. Older active projects become read-only until you close projects or upgrade.
