Manage your plan, users, storage, and add-ons.

Overview

Subscription management is available exclusively to the Account Owner. From here you can view and change your plan, manage user seats, adjust storage, and add optional features.

Access your subscription settings from the account dropdown menu.


Plans

Every paid plan includes the complete Beeswax feature set — projects, tasks and time tracking, quoting, unlimited invoices and contacts, expenses, full double-entry accounting with bank feeds, reconciliation and BAS/VAT reporting, Beeswax AI processing, MCP / AI-assistant access, and API access. The tiers differ only in how many users are included and how much storage you get.

Annual billing is 10× the monthly price — 12 months for the price of 10, so you get 2 months free (for example, Pro is $590/year in Australia or £290/year in the UK).

AUD prices exclude GST; GBP prices exclude VAT.


Pricing and Currency

Beeswax is currently sold in Australia (AUD) and the United Kingdom (GBP). Your billing currency follows the region set for your business:

  • You choose your region when you first set up your account, and your billing currency is fixed when you first subscribe — it stays the same for future renewals.
  • On our public pricing page you can switch between currencies to compare prices; inside Beeswax you always see your own billing currency (on the subscription page, add-ons, and billing emails).
  • Prices aren't a straight currency conversion — each market has its own price points.
  • Existing accounts are grandfathered: if you were already subscribed (including in a retired billing currency such as USD or EUR), you keep the price and currency you signed up at. New prices apply to new signups only.

Note: Some features are region-specific. Payroll is available only in Australia and the United Kingdom.


The Free Plan

The Free plan lets you use Beeswax at no cost with some limitations. It is designed for sole traders or individuals who need basic project management and invoicing.

What is included on the Free plan:

  • 1 active project
  • 1 user (you)
  • 1 GB of file storage
  • 5 invoices per month
  • Unlimited contacts
  • AI processing — up to 30 documents per calendar month
  • MCP / AI-assistant access and API tokens
  • Task management and time tracking
  • Basic invoicing

What is not available on the Free plan:

  • Quotes
  • Expenses
  • Recurring invoices
  • Templates
  • Bank reconciliation
  • Payroll
  • Data import
  • NAS storage integration
  • Full financial reports
  • Connected apps (e.g. Xero)

You can upgrade to a paid plan at any time to unlock these features.


Trial Period

When you first create a Beeswax account, you get a free trial with expanded access. During the trial, you can use most features without restriction so you can properly evaluate Beeswax for your business.

When your trial ends, your account is automatically moved to the Free plan. You will not lose any of your data, but features not available on the Free plan will become locked until you select a paid plan.


Upgrading and Downgrading

Upgrading

You can upgrade your plan at any time from the subscription page. Your new plan takes effect immediately and you are charged a pro-rated amount for the remainder of your billing period.

Downgrading

If you downgrade to a lower plan (or to the Free plan), your account limits will be adjusted. If your current usage exceeds the new plan's limits (for example, you have more active users than the new plan includes, or you move to the Free plan with more than one active project), you will need to deactivate users or close projects before the downgrade can take effect.

When downgrading to the Free plan:

  • Extra team members beyond the plan limit are deactivated (only the account owner stays active)
  • Add-ons (extra users, storage) are removed
  • Your business Hive profile is deactivated (it will no longer appear in the public directory)

What Happens When a Subscription Expires

If a paid subscription expires (for example, if a payment fails and is not renewed within the grace period), the following happens:

  • Account owners are redirected to the subscription page where they can renew or select a new plan
  • Team members (people who were invited to the account) will no longer have access to that account. They are automatically removed from the account and redirected to their personal options

If you are a team member and your access to an account has been removed because the subscription expired, you can still:

  • Create your own Hive profile to showcase your work (see the Hive help article for details)
  • Create a new Beeswax account of your own
  • Accept invitations to other accounts

Your personal user account and any data you own (such as your Hive profile) are not affected when a business account's subscription expires.


Add-Ons

In addition to your base plan, you can purchase add-ons to extend your account:

Payroll Add-On Pricing

The Payroll add-on is tiered by how many employees you need to pay. Pick the tier that covers your team and move up (or down) any time as your team changes:

Prices are shown in your billing currency on the subscription page (Australian dollars above; pound sterling for United Kingdom accounts). A tier covers that many active employees — terminated employees don't count toward the limit. You can't move to a tier smaller than your current number of active employees, and removing the add-on entirely requires terminating or removing all active employees first (this protects your payslip and lodgement history).

Grandfathered subscribers: accounts that purchased the earlier flat-price Payroll add-on keep their existing price with no employee cap. Choosing a new tier from the subscription page moves you onto tiered pricing.

Note: Only the Account Owner can make changes to the subscription. Other roles, including Super Admins, do not have access to subscription management.
